How do I find articles with the search?

Search profiles, filters and the information in the search results, and what to do if an article is not found.

The search field at the top of the marketplace finds all articles released for you. You do not need to select a catalog first. Here you learn how search profiles and filters work, what the results show, and what to do if an article is missing.

Search profiles

Under Search profile: on the left of the search field, choose which fields are searched:

  • Standard: the main article fields. For everyday use.
  • Extended: all article attributes. More hits, less precise.
  • Article number: the vendor's article number.
  • Customer article number: your company's internal article number.
  • Manufacturer article number: the manufacturer's number.
  • EAN number: the EAN, for example from a barcode.

Important: The search profile only changes the searched fields. It never shows more articles than are released for you.

If a search finds nothing, the results page offers Use extended search profile. After a click, you see "Search profile was changed to extended". The profile then stays active for later searches. Switch it back under Search profile:.

Sorting and filtering

  • Sorting: Relevance (default), Name A-Z, Name Z-A, Price ascending and Price descending.
  • Filters: Price, Delivery time, Vendor, Manufacturer and Country. Filters work together.
  • Show only core articles: only your company's core assortment.
  • Show only articles from Partner-Marketplace: only catalogs a vendor released specifically for your company.
  • Others in the Manufacturer filter: articles without manufacturer information. This is not a brand.
  • Product groups: on the left, choose S2CLASS, ECLASS 5.1 or ECLASS 7.1.

What the search results show

  • In stock or Out of stock: reported by the vendor. The tooltip shows how current it is.
  • Stock unknown: the vendor sends no stock data. You can still order.
  • Delivery time: the tooltip shows whether it is the general catalog value or a current value.
  • View bulk prices: at the next quantity tier, the lower price applies automatically.
  • Previously ordered: hits from earlier orders once you enter a search term. Depending on your permission, your own orders or all company orders.

Stock and delivery time are vendor information, not a commitment. Budget and account assignment are checked in the cart.

Why is an article not found?

First check the search itself:

  1. Search profile: Standard does not search the customer article number. For your internal number, choose Customer article number.
  2. Filters: Click Clear all filters or Clear all. Nothing to show in the filter area means the filters together leave nothing.
  3. Spelling: Use one word instead of three, or try Extended.
  4. OCI catalogs: External catalog articles do not appear in the search. Look under OCI catalogues.

If it stays empty, the article is usually not released for you:

  • Assortment restriction: the restriction of your user or group excludes the vendor or catalog. Typical sign: a colleague finds the article, you do not.
  • Newly connected vendor: connected, but not yet released in the assortment restriction.
  • No catalog: the vendor has not released a catalog to your company or has removed the article from it. Then nobody in the company finds it.

In these cases, contact your administrator. They check the assortment restriction under Settings > Assortment restrictions. If a catalog is missing, the vendor or your simple system contact can help.

In short: The search profile determines where the search looks. The assortment restriction determines what you may see. If results are missing, check search profile and filters first, then the release.
