How do I order by barcode with simpleScan?
How to scan barcodes with a smartphone or scanner, use your own labels and fix problems when an article is not found.
With simpleScan you order articles by barcode, at the shelf with your smartphone or at your computer with a barcode scanner. You do not need an app.
Opening simpleScan
- Click the scanner button next to the search (tooltip Start simpleScan!).
- Or use the Scanner quick access button on the start page.
Scanning with your smartphone
- Log in as usual in your smartphone's browser.
- Open simpleScan and allow access to the camera.
- Place the barcode in the frame. The most recently scanned articles are shown at the bottom.
If the message Please enable camera access stays on screen, camera access was denied in the browser. Allow the camera in the browser's site settings and reload the page. Also check the browser's camera access in your phone's settings.
Using a barcode scanner at your computer
On a computer, a standard barcode scanner works in the simpleScan input field without any setup. The cursor must be in the field, and the scanner must send an Enter after the code.
Which numbers are recognized
- EAN from the manufacturer's packaging
- Article number of the vendor
- Customer article number, your own number for the article
- External reference, your own barcode stored on the article
For EAN, article number and customer article number the quantity is 1. For an external reference, the quantity stored there is used. Labels in the format number;quantity or vendor;number;quantity from previous systems are also recognized. You can change the quantity before moving the items to the cart.
Customer article number or external reference?
- The customer article number is an additional number for the article, without a quantity. You maintain it under Settings > Article information in the Customer article number tab by file upload.
- Use the external reference to keep using existing shelf labels. It carries a quantity, for example a packaging unit.
Storing your own barcodes as external references
- Open the article and click Edit article.
- Go to the External references tab and click Add.
- Scan the barcode into the Reference field or type it in.
- Enter the Article quantity and save.
External references apply to the whole company. To create them you need the Edit external references privilege, which an administrator assigns under User privileges. A deleted reference is no longer recognized when scanning.
From scan to order
Scanned articles first go to the scan list. Move the items to the cart and place the order there as usual. Approval workflows, budgets and account assignment apply as always. The scan list is linked to your user account: scan at the shelf with your smartphone and order at your computer.
Printing labels
You create new barcode labels from an article list using Generate barcodes. There you choose Article number, Customer article number or External reference as the value stored in the barcode.
If an article is not found
- Articles references couldn’t be matched with the existing articles on our platform: the scanned code is not stored anywhere. Store it as an external reference or check the value for typos and spaces.
- We found more than one article matching reference, please choose matching article: select the right article via Choose article. Then resolve the duplicate number, otherwise the prompt appears with every scan.
- Articles are unavailable or have been restricted: the tooltip shows the reason. For Article removed from catalogue, look for a replacement. For Restricted by your account settings, contact your administrator. Use Remove articles to clean up the list.
In short: scan, move to the cart, order. Test one existing label before relabeling your shelves.
