How do I use quick entry?
How to add many articles at once by copy and paste or file upload and move them to your cart.
With quick entry you add many articles at once when you already know their numbers. You paste a list or upload a file, check the result and move the articles to your cart. Quick entry is part of the basic package.
How to open quick entry
On the search page, click Fast order. If your list already contains entries, the button shows their number as a small badge.
Paste or upload numbers
- Copy the column with the numbers, for example from Excel, and paste it directly into the input field. This is the fastest way.
- Alternatively, upload a text file with the extension .txt.
- You can combine pasting and uploading. An upload does not overwrite anything. It adds to the entries already in the field. You can also upload several files one after another.
Note: The help text on the page mentions a .csv file. However, the file selection only accepts .txt.
Line format
- One line per article. Lines are separated by line breaks only, not by commas or semicolons.
- Number only: the quantity is then 1.
- With quantity: number;quantity, for example 4012345678901;10. The quantity follows the last semicolon and consists of digits only.
Which numbers are recognized
The platform checks each line against four numbers: EAN, the vendor's article number, your customer article number and a stored external reference. You do not need to specify which type of number a line contains.
Check the result
Each line appears in the list with one of three statuses:
- Found: The article was identified clearly. You can still adjust the quantity.
- Not found: The message "Articles references couldn’t be matched with the existing articles on our platform" appears. The platform does not know this number.
- Multiple matches: The message "We found more than one article matching reference, please choose matching article" appears. Click Choose article and select the correct one.
To remove individual items, select them and click Remove articles. The rest of the list stays as it is.
Move to cart
- Move the items you want to your cart.
- Place the order in the cart as usual.
Important: The captured list is not an order yet. Only the order in the cart triggers anything. All the usual rules apply: approval workflows take effect, the budget is charged, and any mandatory account assignment is entered in the cart.
The list is saved to your user account, not in the browser. It remains available even if you close the browser or switch devices.
Common problems
- Almost all lines not found: This is usually caused by the file. Common causes are several numbers in one line, extra columns such as description or price, a header row with column names, or an internal number from your own system. As a test, enter a single number by hand.
- A single line not found: Check for typos and spaces. Search for the article in the regular search to confirm it exists.
- Repeated multiple matches: The same number is assigned to several articles. Resolve the duplicate permanently, otherwise you have to choose again every time.
- "Articles are unavailable or have been restricted": The article was identified but cannot be added to the cart. The tooltip shows the reason. For "Article removed from catalogue", look for a replacement. For "Restricted by your account settings", an assortment restriction blocks the article. Only your administrator can change this.
In short: One number per line, quantity after a semicolon, files only as .txt. Check the result, move it to the cart, order there. Then clear the finished list.
