Change in the handling of delivery addresses (en)
From approximately 6:00 PM on February 19, 2026, simple system will introduce a new logic for managing delivery addresses. This will give administrators significantly more control over critical address fields. At the same time, existing delivery addresses must be reviewed and, if necessary, updated before this date.
What is changing?
Previous setup (until February 18, 2026)
Some delivery address data was shared across all users, while other fields could be maintained individually per user.

There will still be central and individual fields. However, additional fields will now be managed centrally by the administrator.

What does this mean for you?
Administrators will gain significantly more control over delivery address data.
From the effective date onward, administrator-maintained values will automatically be distributed to all assigned users.
Individual user entries in Address line 2, Address line 3, and Unloading point will be overwritten and deleted.
Additionally, administrators can define whether users are allowed to edit Address line 3. By default, editing is disabled.

What happens on the effective date?
On February 19, 2026 at approx. 18:00, the change will be applied automatically.

All existing delivery addresses will be updated.

Administrator-maintained values in Address line 2, Address line 3, and Unloading point will be distributed to all assigned users and will overwrite their individual settings.

Individual user values in these fields will be lost.
Important:
Automatic migration of individual user values is technically not possible — even upon request.
What do administrators need to do?
1. Review existing data by February 16, 2026

Check whether users have stored individual values in Address line 2, Address line 3, or Unloading point.

Assess whether this information is business-critical.

Clarify whether fields are used differently per user (e.g., departments or individual unloading points).
2. Create new delivery addresses by February 18, 2026
If different values are required, separate delivery addresses must be created.
Create new delivery addresses with the individual information and name them clearly, e.g.:
“Plant Munich – Logistics Department”.
Important:
Assign these new delivery addresses only after the effective date, starting approx. 18:30 on February 19, 2026.
3. Define permissions starting February 18, 2026
Decide whether specific users may edit Address line 3.
Editing is disabled by default.
We recommend granting editing rights only where truly necessary.
4. Inform users by February 19, 2026
Inform your users early about the change.

Dear [Name],
starting February 19, 2026, the management of delivery addresses in simple system will change.
Your individual settings in the fields “Address line 2”, “Address line 3”, and “Unloading point” will be replaced by centrally managed administrator values.
If you have previously used these fields individually, we will create a new delivery address for you using your existing information.
After February 19, you will no longer be able to edit these fields yourself unless the administrator explicitly enables this option.

Frequently Asked Questions (FAQ)
What happens to individual user values?
They will be overwritten on February 19 by the administrator’s centrally maintained values. If they need to be preserved, a new delivery address must be created.
Can users edit address lines after the effective date?
Only if the administrator explicitly allows it.
Will the “Alternative recipient” field remain individual?
Yes, this field remains user-specific.
What happens to additional user information from the profile?
It will continue to be automatically transferred to Address line 3 in the cart.
Can simple system automatically migrate individual values?
No, this is technically not possible.
What happens if no action is taken?
All users will receive the administrator-defined values. Individual entries will be lost.
Are interfaces affected?
Not directly. However, downstream processes such as goods receipt or logistics may be impacted.
Can this change be reverted?
No, the change is final.
