Reasons and solutions for missing approval requests by email
Some users who are set up as approvers in the system do not receive emails with approval requests. This can have various technical causes.
Possible causes
-
Hard bounce lists
-
Email addresses can be added to a hard bounce list if delivery fails permanently.
-
Example: Addresses such as robert.sipes@hotmail.com or aldo.rohan@gmail.com were identified as hard bouncers and no longer received notifications.
-
-
Blocking of the sender address
-
The simple system sender address (noreply@simplesystem.com) may be blocked at the recipient's end.
-
Without whitelisting, delivery is prevented.
-
-
System messages deactivated
-
After a hard bounce, the transmission of system messages can be deactivated automatically.
-
Reactivating it ensures that users receive notifications again.
-
What users can do
-
Checking the email addresses
-
Make sure that the address is correct and active.
-
In hard bounce cases, the address may be blocked for sending on the platform side. This block is not visible on the platform. In that case, contact Support at support@simplesystem.com and state the affected address.
-
-
Whitelisting the sender address
-
The sender address should be enabled at the recipient's end to avoid blocking.
-
-
Direct approval in the system
-
Users can also grant approvals directly in the system by logging in.
-
This is an immediate solution if emails are not delivered.
-
In the order history, you can recognise pending order requests by the label Requires your approval.
-
Summary
Missing approval requests by email are usually caused by hard bounces or blocked sender addresses. Checking the email addresses and whitelisting measures ensure delivery. Direct approval in the system does, however, remain an alternative.
