Overview of FTP upload
FTP upload is the recommended method for vendors who want to update their data regularly.
Benefits:
- automated data transfer
- no manual maintenance necessary
- fast updating of large amounts of data
- stable integration into existing systems
The upload takes place by transferring your files to an FTP server provided by simple system.
Supported data types
The following data can be provided via the FTP server:
- catalogues (BMEcat XML or ZIP)
- price lists (CSV or ZIP)
- article number lists (CSV or ZIP)
- availability & delivery times (CSV or ZIP)
Each data type is processed in its own area of the platform.
Setup and access data
You can find your individual FTP access data in the respective area of the platform, e.g.:
- Catalogues → Automatic upload
- Price lists → Automatic upload
- Article number lists → Automatic upload
- Availability & delivery times → Automatic upload
Typical access data includes:
- server address
- port (usually 22 for SFTP)
- username
- password
- target directory
This data must be stored in your system to enable automatic transfer.
How the upload works
The FTP upload process is as follows:
- your file is transferred to the FTP server
- the upload is automatically detected
- the file is placed in a queue
- processing takes place on the system side
- once processing is successfully completed, the data is activated
You can view the status at any time in the respective area of the platform.
Update logic per data type
Catalogues
- an upload always completely replaces the existing catalogue
- updates are only possible in full (no single-article updates)
- a new catalogue is created if the file name differs
Price lists
- an upload completely replaces the existing price list
- partial updates of individual articles are not possible
- a new price list is created if the file name differs
Article number lists
- an upload replaces the entire list
- only complete updates are possible
- existing customer assignments are retained
Availability & delivery times
- only a single list can be maintained
- an upload completely overwrites the existing list
- the values apply to all customers and catalogues
Important file naming rules
File naming is crucial for the correct processing of updates.
Basic rules:
- the file name must be exactly identical when updating
- upper and lower case must match
- no update is carried out if the name differs
ZIP files
- maximum one file per ZIP
- no folder structures included
- the name of the ZIP file is decisive (not the content)
Processing and status
After the upload:
- the file is placed in a queue
- processing takes place automatically
- once processing is successfully completed, the data becomes active
Important:
- data is only active once it has been assigned to customers (e.g. catalogues, price lists)
- the status can be viewed in the portal
- error reports are available after processing
Typical sources of error
- incorrect file name during update → new file instead of an update
- ZIP file contains several files → processing fails
- incorrect format (e.g. not CSV/XML)
- missing mandatory fields in the data
- incorrect encoding or structure
