How do I set up a shared cart?
Shared carts are created and managed by the administrator under Settings in the Marketplace section. Here you define the name, the description and the assigned users together with their role. This guide takes you through creation, editing, details and deletion.
1. Prerequisites
- You need the Administrator role. Shoppers can use shared carts but cannot set them up.
- The Shared cart function must be included in your licence package. It is part of the Marketplace package. If it is not included, you see an information page here with the option to arrange an appointment with the consulting team.
- Only users who have already been created in your account can be assigned.
2. Where do I find the settings?
Navigate to Settings > Marketplace > Shared cart.
There you see a list of all shared carts created, with the following columns:
- Name, with the creator below it
- Last edited
- Articles in the cart, plus the number of vendors involved
- Last checkout
- Assigned users
Use the search field to filter the list by name. Use the menu at the end of the row to reach Show details.
If no shared cart exists yet, a note appears explaining that a shared cart is a role-based section in the shopping cart in which team members pool their requirements.
3. Creating a shared cart
- Click Create shared cart.
- In the Description section, assign a Name of the cart. The name is mandatory, may be no longer than 120 characters and must be unique within your account. If the name is already in use, the platform reports this directly in the field.
- Optionally add a Description of up to 500 characters. Use the field to make the purpose clear. This makes it easier for users to see which collective cart their requirement belongs in.
- In the Assign users section, click Add users.
- Search for the required users and select them. The display shows you how many of the available users you have selected.
- Define the Role for each assigned user: Buyer or Contributor.
- Save the collective cart.
Important: At least one user must be assigned and at least one of the assigned users must have the Buyer role. Otherwise the collective cart cannot be saved.
Tip on choosing the role
- Buyer is the person who checks the pooled requirements and places the order, for example the team leader or central purchasing. Several buyers can also be entered, for instance to cover holidays.
- Contributor is the person who only reports their own requirements and should not change other people's line items.
4. Viewing the details of a shared cart
Open the collective cart via Show details. There you see:
- Created by, Last edited and Last checkout together with the respective person
- The stored Description. If no description has been maintained, the section is hidden.
- The Assigned users section with name, Last activity in the cart, Articles in the cart and Role
Use Edit cart to go straight to editing.
5. Editing a shared cart
You can change the name, description and the assignments at any time.
Important: The user list stored on saving completely replaces the previous assignment. A user you remove from the list loses access to this shared cart. Therefore check the list before saving.
The same applies when editing: at least one buyer must remain assigned.
6. Deleting a shared cart
- In the row menu, select the delete action.
- Confirm the prompt.
Caution: When you delete, all articles collected by the assigned users are removed. The action cannot be undone. Check with the buyer beforehand whether the content is still needed.
7. Interaction with user administration
- In a user's profile, under the assigned functions, you see in how many shared carts they are entered as Buyer and in how many as Contributer.
- If you want to delete a user who is the only buyer in a collective cart, deletion is blocked. Assign another buyer first.
- If a user is deleted who is not the last buyer, the platform removes them from the shared carts. The shared carts remain in place and the articles added by that user remain in them.
Summary
As an administrator you create shared carts under Settings > Marketplace > Shared cart. A unique name and at least one assigned user with the Buyer role are mandatory. When editing, the saved user list always replaces the previous assignment. When deleting, all collected articles are lost.
